Privacy Policy
This policy explains what information NGO Setu collects and how it is used to provide NGO website, Banner Studio, management, and public Network services.
Last updated: October 24, 20261. Information We Collect
NGO Setu may collect information entered by registered NGO owners/admins, including mobile number, email address, login and account details, NGO name, holder/admin name, address, website URL, registration year, uploaded logo, registration documents, team details, activities, event information, donor records, member records, annual reports, project details, objectives, social links, website page content, subscription status, and public Network publishing choices.
2. Uploaded Files and Media
The app allows users to select or upload images, PDFs, payment screenshots, profile photos, banners, logos, and documents. Media uploaded for activities, events, profiles, team members, projects, reports, websites, or records may be stored on NGO Setu servers and used for the feature selected by the user. Selecting a file does not automatically make it public; visibility depends on the relevant website and Network publishing settings.
3. Donation and Donor Information
NGO Setu does not directly collect, hold, process, transfer, or distribute donation funds. If an NGO owner enters donor or donation details, those records are managed for that NGO account. Donation payments shown on a generated NGO website are handled directly by the respective NGO.
4. Banner Studio
Banner Studio uses NGO profile information, selected photographs, logo, NGO name, category, contact details, website, email, payment QR code, and other text chosen by the user to create promotional graphics. A photograph selected specifically while editing a banner is processed on the user's device for preview and export and is not uploaded merely because a banner is created. Images already stored in an NGO Setu activity, event, project, donor, or profile record may be downloaded from the server for use in a banner.
Completed banners are saved to the user's device only after the user chooses to download them. A banner is shared with another app or person only when the user chooses the Share action. Users should check the preview carefully because any visible mobile number, email address, website, payment QR code, photograph, or other information becomes part of the exported image and may become public when shared.
5. Local Storage in the App
The app may store login session data and selected NGO profile data on the user's mobile device so the dashboard can open more easily and limited information can be shown when internet connectivity is unavailable.
6. Notifications
We use Firebase Cloud Messaging to send important app notifications such as subscription reminders, account updates, and service messages. For this, we may store a device notification token, device identifier, device name, and app version.
7. Subscription and Payment Information
When a user purchases an NGO Setu plan, we may process and store the selected plan, amount, currency, order and transaction identifiers, payment status, purchase date, activation date, and validity period. Payment credentials such as complete card or bank authentication details are collected and processed directly by the applicable payment provider under its own privacy terms and are not intended to be stored by NGO Setu.
8. How We Use Information
We use information to create and manage NGO profiles, generated websites, activities, events, members, donors, documents, reports, receipts, ID cards, public pages, account login, support, security, and service improvement.
9. NGO Setu Network and Public Websites
Information that the NGO owner chooses to publish may appear on the NGO's generated website and in the common NGO Setu Network directory at ngosetu.in. Network publishing is not enabled automatically. It requires an affirmative publishing choice and authorization from the NGO account holder.
Depending on the selected controls, a public Network profile may include the NGO name, logo, general profile, establishment year, mission, vision, objectives, office address, team profiles, activities, events, projects, reports, website link, social links, and contact options. The account holder can change supported visibility choices or unpublish the Network profile. Unpublishing removes the profile from normal public directory access, although search-engine caches, shared screenshots, downloaded files, and copies made by other people may remain outside NGO Setu's control.
Donor records, member records, uploaded registration certificates, government identity documents, private payment records, and bank account records are not intended to be published as NGO Setu Network directory fields. An NGO remains responsible for ensuring that it has permission from team members and other identifiable people before publishing their names, photographs, roles, or other information.
10. Public Contact Privacy
Direct mobile numbers and email addresses are shown in the directory only when the NGO enables public contact details. NGO Setu may initially mask those details and require a visitor action before revealing them. Reasonable access limits and anti-abuse checks may be applied. A visitor may instead submit a private enquiry with consent; the submitted name, reply contact and message are provided to the selected NGO for the purpose of responding. Public contact information must not be harvested, compiled, sold, or used for unsolicited bulk promotion.
11. Public Enquiries, Contact Reveals, and Profile Reports
A directory visitor who sends a private enquiry may provide a name, email address or mobile number, message, and consent to let the selected NGO use those details to respond. The enquiry is stored and delivered to the selected NGO, and an app notification may be generated for that NGO. To reduce spam and misuse, NGO Setu may store a one-way hash derived from the visitor's IP address and use secure session cookies, request tokens, rate limits, and temporary access records.
A visitor reporting inaccurate information, impersonation, a privacy concern, harmful content, or another issue may submit a reason, explanation, and optional contact details. Reports are provided privately to the NGO Setu moderation team and may be retained while the report is reviewed, resolved, or needed for security and abuse prevention.
12. Sharing of Information and Service Providers
We do not sell personal information. Information may be processed by hosting, file storage, notification, payment, security, support, and other technical service providers only as needed to operate NGO Setu. This may include Firebase Cloud Messaging for notifications and an applicable payment provider for NGO Setu plan purchases. Information may also be disclosed when required by law, a valid legal request, fraud or abuse prevention, protection of users, or enforcement of our terms.
13. User Choices and Responsibilities
NGO owners/admins are responsible for the accuracy and legality of content they upload, the permission to use photographs and personal information, and the authority to publish information about the NGO, team members, beneficiaries, donors, members, and other people. Users can control supported Network sections, disable public contact details, unpublish a Network profile, edit many records, and choose whether to download or share a Banner Studio image.
14. Data Retention, Update, and Deletion
Information is retained while an account or service is active and as needed to provide the requested features, maintain security, resolve disputes, enforce agreements, and meet legal, tax, accounting, or regulatory requirements. Users can update many records directly from the app and can initiate an account deletion request from the app.
Account deletion removes or anonymizes the public profile and associated account data as described in our Data Deletion Request page. Certain mobile, registration, donor, payment, security, or transaction records may be retained where reasonably required for legal compliance, verification, accounting, fraud prevention, or dispute resolution. Backup copies may require additional time to expire. Questions about retained information may be sent to info@ngosetu.in.
15. Security
We use reasonable technical and organizational measures to protect user data. However, no internet-based service can be guaranteed to be fully secure. Users must keep their passwords and account access confidential.
16. Children's Privacy
NGO Setu is intended for NGO owners/admins and is not directed to children. Users should not upload children's personal information unless they have lawful authority and consent to do so.
17. Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page with the latest update date.
